Job Requirements

Key Responsibilities
  • Provide general administrative and clerical support.
  • Capture, organize, store, and retrieve documents and correspondence.
  • Maintain filing systems, registers, and office records.
  • Handle routine enquiries and distribute documents.
  • Provide procurement and supply chain administrative support.
  • Obtain quotations and process office supply requests.
  • Manage stationery stock and maintain the asset register.
  • Maintain leave and attendance registers.
  • Arrange travel and accommodation.
  • Capture expenditure information and process travel claims.
  • Assist with petty cash and telephone account administration.

Applications must be submitted using the prescribed new Z83 Application Form (effective 1 January 2021), available from any Public Service Department or on the DPSA website. The application form must be fully completed, signed, and dated, and accompanied by a detailed CV outlining qualifications, training, competencies, knowledge, and experience. Applications submitted on an incorrect Z83 form will be disqualified.

Only shortlisted candidates will be required to submit certified copies of qualifications and supporting documents before the interview. These certified copies must not be older than six months. Failure to comply with the application requirements may result in disqualification.

Applicants applying for more than one position must submit a separate Z83 form and supporting documents for each post. If more than one post is listed on the same application form, only the first post indicated will be considered. Requests to withdraw an application must be made in writing.

Successful candidates will undergo personnel suitability checks, including criminal record, citizenship, financial and asset record, qualification, and employment verification. Security clearance will also be required. Pre-employment screening may include social media profile checks, and successful candidates will be required to complete security vetting. A negative security vetting result may result in the cancellation of the employment contract.

Where applicable, shortlisted candidates may be required to complete pre-entry assessments, including a practical exercise and an Integrity (Ethical Conduct) Assessment. Assessment results may form part of the selection process. Additional technical and competency assessments may be conducted for senior management positions.

Successful candidates must disclose their financial interests within one month of appointment and will be appointed on a probation period of twelve months in accordance with the applicable public service regulations.
