Purpose of the Position
The Project Administrative Assistant will provide administrative, operational, and coordination support to the Public-Private Partnerships Office. The successful candidate will assist in ensuring the effective planning, implementation, monitoring, and reporting of innovation and partnership projects while supporting stakeholder engagement and maintaining project governance documentation.
The position also plays an important role in ensuring business continuity during the temporary absence of the PPP Manager by providing administrative support across various partnership initiatives.
Work Arrangement
The successful candidate will primarily work on-site at the Institute for the Future of Work located at Ditsela Place in Hatfield, Pretoria.
Hybrid working arrangements may be approved depending on operational requirements and University policy.
The position also requires occasional local travel to stakeholder meetings, project sites, partnership engagements, workshops, and related events. Travel may take place together with the Senior Director or other authorised University representatives where necessary.
Key Responsibilities
The Project Administrative Assistant will perform a wide range of administrative and project coordination duties, including the following:
Project Administration and Coordination
Responsibilities include:
- Providing administrative support for innovation and partnership projects.
- Assisting with project planning and implementation.
- Maintaining project schedules and timelines.
- Updating project action registers.
- Maintaining project risk registers.
- Managing project dashboards.
- Coordinating project meetings.
- Preparing meeting agendas.
- Recording accurate meeting minutes.
- Monitoring project milestones.
- Following up on outstanding project deliverables.
- Maintaining project documentation.
- Organising filing systems and project records.
Stakeholder and Partnership Coordination
The successful candidate will also assist with partnership administration by:
- Coordinating communication between internal and external stakeholders.

- Helping onboard new project partners.

Minimum Requirements
